What is included in registration?
Your registration fee covers all classes, meals, and special events. Travel and hotel are not included.
What is the registration cancellation policy?
You may cancel your registration without penalty if submitted to HCSS in writing to firstname.lastname@example.org by 2/8/2021 at 12:00 PM (Noon) CST. Cancellations received after the refund cut-off date, at which time food and beverage guarantees have been made on the attendee’s behalf, will be subject to a 100% cancellation fee.
Substitution Policy: If you are no longer able to attend this event, you may transfer your registration to another individual within your organization at any time without penalty by sending an email to email@example.com with the new attendee’s name and contact information.
What if I have dietary restrictions or food allergies?
There is an opportunity during the registration process to describe any dietary restrictions.
When should I plan on arriving?
We recommend arriving on Monday, February 15.
What should I bring with me?
We recommend that all attendees bring a laptop with them. Apple laptops (Macs) are not recommended unless you can run our software from a remote desktop on your Mac. You may also want to pack a jacket or sweater for your class sessions. Conference rooms at the hotel can run a bit chilly.
Note: It is recommended that you install the UGM version of our software before coming to the meeting. This version is the same one that our instructors are using, thus providing continuity among classes. It also allows you to play around with the software without affecting your company’s data. It’s important to note our software requires administrative privileges to install. HCSS will email UGM attendees approximately 1 week prior to the meeting with the link for the software installation.
Are guests allowed to attend?
Registered guests are allowed to attend all meals and special events. Guests are not allowed to attend classes. There is an opportunity to register guests during the registration process.

How do I change the classes I signed up for?
Click the “Already Registered” button on the registration page.
Enter your email address and unique confirmation number and click “OK”.
Click “Modify Registration”

What is the cost to attend?
The full registration price for one meeting is $1825.
How do I get an invoice?
Your event confirmation email includes payment details. If you would prefer an invoice, please contact firstname.lastname@example.org.
Are there discounts available?
Yes, there are early bird and multiple attendee discounts. If you register before December 15, you will receive $125 off per person. For 3-9 people the cost is discounted to $1775 and for 10+ people the cost is discounted to $1750.
I would like to pay for my registration by check, how can I do that?
We are now accepting Electronic Checks. At check out, select Electronic Check and click Submit. After submitting, you will have 20 minutes to submit your Electronic Check payment. If payment is not submitted within 20 minutes, your registration will not go through.
What is the room rate for the UGM room block?
The room rate is $252 per night plus tax. Please note that you must book through the HCSS Users Group Meeting group block to receive our discounted rate. A link to book will be sent to all registrants in their confirmation email. Rooms are available on a first come first serve basis.
How do I book my room?
After completing your registration, you will see a link that says Book Hotel on your confirmation page (this link will also be included in your confirmation email). This link allows you to book directly through the hotel while receiving our group rate.
Can I add a hotel room to my registration later?
Yes, you can book a hotel room in our group block (unless sold out) until February 8. Rooms are available on a first come first serve basis.
What is the hotel cancellation policy?
You may cancel your hotel reservation at no charge up until three days before check-in. After that, cancellations are subject to a fee of $252 (one room night) plus tax.
What time is check-in and check out?
Check in: 4:00 PM
Check out: 12:00 PM
I will not have the company card with me at check-in. Can I still use it to reserve my hotel room?
Yes, but you will need to fill out a credit card authorization form and fax it to the hotel prior to check-in. We will email you the credit card authorization form a week prior to the meeting.
How can I book an upgraded room or suite?
HCSS does not have a discounted rate or a block of upgraded rooms or suites. To guarantee one of these room types, you will have to book outside of our group block. You may also request an upgraded room upon check-in if one is available. There will be a fee associated with upgrading your room, please discuss this with the hotel.
Is there a shuttle service from the airport?
The Marriott Marquis Houston does not offer shuttle service. You may consider looking into alternate transportation services, such as Uber, Lyft, or Super Shuttle.
